A Retroactive Change is the term used to refer to how the system handles a configuration changing. An example may be, if you change the name of an Online Course, do all Learners see the new Course name, or only newly enrolled Learners?

This document focuses on covering the known retro-activity of different elements of SkillSync LMS.

Retroactive Changes Best Practices

When you are making changes in your Portal it is important to remember that any numbers of changes
may have different consequences, or outcomes. Modifying a Learning Object could potentially affect
every Learner with an active enrollment.

Determining the outcome of a change is valuable information. However it is not advised to include the outcome of a retroactive change in your business use-cases, as the functionality listed here may change unexpectedly in the future as new features are released, or functionality is modified.

Completed Users Don't Receive Updates

As a rule of thumb, Learners will not receive any updates related to an Enrollment if that Enrollment is
Completed. There may be exceptions to this rule, and this possibility reinforces the importance of testing a circumstance if the outcome of a Retroactive Change is business critical.

Create a New Course Instead of Reworking an Existing One

In regard to data integrity, it is ideal to have access to as much original information as possible. While it is
a supported use-case of SkillSync to update existing information such as an Online Course. In the case of
re-working a Course and replacing almost everything. It may be better to create a new Course with the
same name, and title it accordingly. As an example:

The benefit of creating a new Course instead of applying all the changes to an existing one is that it does
not incur Retroactive Changes. Newly enrolled Learners will experience the content as you configured it,
and there aren't any actively enrolled Learners to potentially affect with large scale changes.

Don't Rely on Retroactive Changes

In most cases, Retroactive Changes are the observed outcome of a change occurring in the system and proliferating. Understanding a Retroactive Change may be beneficial to explain why something happened, or what can be done to modify content that is essential to modify. However, the outcome associated with any given Retroactive Change may alter without notice as SkillSync LMS continues to develop, and update existing features.

Always test before making changes to critical data, or expecting a Retroactive Change to take place.

Asterisks Indicate Not All Users are Affected Equally

In the following tables, some elements will have the state of their retro-activity presented with an asterisk. Such as in the following example:

Elements with an asterisk should be considered changes that will have a unique circumstance associated with them, or the change will not equally affect each User. Make certain to review the details associated with that change.

Online Course Changes

This section contains information about the retro-activity of different elements or settings available when configuring an Online Course, including Learning Objects:

Status	Yes. Once the Course Status is turned to Active again, Learners will see the Course on their My Courses page or on their Transcripts again.
Title	Yes. If the Admin adjusts the Title after Learners are enrolled, the updated Title will display to those Learners.
Description	Yes. If the Admin adjusts the Description after Learners are enrolled, the updated Description will display to those Learners.
Language	Yes. If Language is modified, this change will be observed by all Users and Filters will identify the change correctly.
Tags	Yes. If a new Tag is added or if you are editing the existing Tags, Learners who are enrolled will see the updates.
Chapters and Lessons	Yes. Learners who are enrolled and not finished with the Course will see these updates. Completed enrollments will not be required to take the Course again.
Must Complete	Yes. Learners who are enrolled and not finished with the Course will see these updates. Completed enrollments will not be required to take the Course again.
Show Terms & Conditions	Yes. Learners who are enrolled will see and be required to review the new Terms & Conditions added.
Mobile Device Alert	Yes. Learners who are enrolled and go to launch the Course on a mobile device will receive an alert if the Course is not compatible.
Proctor	Yes. Learners who have not completed the Course will be prompted to use a Proctor on their Assessment.
Outline	Yes. Changes to this section will be observed by all Learners.
Chapter Name	Yes. Changes to this section will be observed by all Learners.
Learning Objects	Yes. Learners who are enrolled and not finished with the Course will see these updates. Completed enrollments will not be required to take the Course again.
Maximum Number of Attempts	No. Adjusting the Max Attempts on Assessments will not affect anyone who has already begun taking the Assessment.
Locked Department	Yes. Changes to this section will be observed by all Learners.
Allow Self Enrollment	No. Adding, editing or removing the Enrollment Rules will not affect Learners who are already enrolled.
Enable Automatic Enrollment	No. Adding, editing or removing the Enrollment Rules will not affect Learners who are already enrolled.
Enable Manager Enrollment	No. Adding, editing or removing the Enrollment Rules will not affect Learners who are already enrolled.
Approval	No. Once the enrollment for the Learner has been completed, adding or removing the Approver will not force the Learner to go back through the Approval process again.
Enable E-Commerce	*Yes. Changes to this section will be observed by all Learners who are not yet enrolled. Changes to Price or Enrollment Method are irrelevant for Learners** who are already enrolled.
Allow Public Purchase	*Yes. Changes to this section will be observed by all Learners. Changes to Price or Enrollment Method are irrelevant for Learners** who are already enrolled.
Default Price	No. Only Users who are not enrolled will observe this change.
Variable Price Groups	No. Only Users who are not enrolled will observe this change.
Extensions	Yes. All Users will observe this change.
Certificate	No. If the Certificate was not present at the time of completion, then adding a new one will not apply to those Learners. If the Learners are enrolled, but have not completed the Course, the added Certificate will apply at completion.
Certificate Source	Yes. Editing the Certificate PDF will update the Certificate they can print from their Transcripts. This is because an awarded Certificate is generated uniquely each time it is opened by a User.
Use Custom Title (Certificate)	Enabling the Custom Title: No. Learners do not observe the change to this element. *Updating the Custom Title: Yes. If this change is made prior to the User completing their Course and being awarded a Certificate**.
Notes	Only visible to Admins. Will be updated after saving.
Expiry	No. Adding, editing or removing this Date will not affect Learners who have already completed the Course. If the Learners are enrolled, but have not completed the Course, the updated Date will apply at completion.
Expire In	*Yes. Users who are In Progress will receive the latest expiry date on their Certificate. Users who are Completed** will not observe this change.
Expiry Date	No. Adding, editing or removing this date will not affect Learners who have already completed the Course. If the Learners are enrolled, but have not completed the Course, the updated Expiry Date will apply at completion.
Certificate Upload	Yes. Learners who have not enrolled, or are In Progress will observe this change.
Allow Re-enrollment	Yes. Turning this feature on will allow anyone enrolled (completed or not) the ability to re-enroll in the Course.
Choose when a learner can re-enroll	Yes. This element is retroactive for all Users.
Competencies	No. Learners who have already completed the Course will not receive any updates to Competencies. If the Learners are enrolled, but have not completed the Course, the Competency updates will apply at Completion.
Credits	No. Learners who have already completed the Course will not receive any updates to Credits. If the Learners are enrolled, but have not completed the Course, the Credit updates will apply at Completion.
Allow Failure	No. Learners who have already completed the Course will not receive any updates for this feature. If the Learners are enrolled, but have not completed the Course, the Allow Failure updates will apply at completion.
Leaderboard Points	No. Learners who have already completed the Course will not receive any updates for this feature. If the Learners are enrolled, but have not completed the Course, the Leaderboard Points will apply at completion.
Post Enrollments	Post Enrollment rules have three different triggers to choose from: Enrolled Completed Failed Post Enrollment actions will be dictated by how a Course or Curriculum's Post Enrollment rules are configured at the time an enrollment, completion, or failure occurs. Enrolled: Users who have been enrolled into a Course or Curriculum after this setting is configured will receive the Post-Enrollment trigger. Completed: Users who have complete a Course or Curriculum after this setting is configured will receive a Post-Enrollment trigger. Failed: Users who have failed a Course after this setting is configured, will receive a Post-Enrollment trigger. Note: If a Learner has already enrolled in, completed, or failed a Course, and the Post-Enrollment rules are set after the fact, the trigger will not retroactively apply to that Learner. Exception: Course Bundles
Access Date	Yes. Adding or changing the Access Date will affect all Learners who are enrolled.
Expiration	Yes. Adding or changing the Expiration Date will affect all Learners who are enrolled.
Due Date	Yes. Adding or changing the Due Date will affect all Learners who are enrolled.
Allow Course Content Download	Yes. Turning this feature on or off, will update the option for Learners who are enrolled.
Allow Re-enrollment	Yes. A Learner that is In-Progress or Completed will be able to re-enroll if this is enabled.
Prerequisites	No. Learners who have already enrolled, will not have the updates made to Prerequisites.
Category	Yes. Updates to Categories will appear to enrolled Learners.
Thumbnail	Yes. Updates to Thumbnails will appear to enrolled Learners.
Posters	Yes. Updates to Posters will appear to enrolled Learners.
Mandatory Course	Yes. Turning the Mandatory option on or off will appear to enrolled Learners.
Featured Course	Yes. Turning the Featured option on or off will appear to enrolled Learners.
Featured Course Sort Order	Yes. This element is retroactive for all Users.
Featured Course Start Date	Yes. This element is retroactive for all Users.
Featured Course End Date	Yes. This element is retroactive for all Users.
Enable Recommended Courses	*Yes. This element is retroactive for In-Progress and Completed Learners. Courses in the Recommendations Course Ribbon do not change and are not removed when the recommendation tags are modified or when Enable Recommended Courses** is disabled.
Recommendation Tags	Yes. This element is retroactive for all Users.
Course Visibility	Yes. Turning the Course Visibility option on or off will immediately update the Admin's visibility in the Admin Interface.
Primary Department Editor	Yes. Adding a Primary Department Editor will immediately update the Admin's visibility in the Admin Interface.
Additional Admin Editors	Yes. Adding an Additional Admin Editors will immediately update the Admin's visibility in the Admin Interface.
Send email notification	Yes. This element is retroactive for all Users.
	No. Once the Learner is enrolled into the Course, opting in or out of the Enrollment Message will not affect these Learners. Only Learners who enroll into the Course, after the update is made.
	If the Completion Message is turned on prior to the Learner completing the Course, they will receive the Completion Message. If the Learner has already completed the Course, opting in or out of the Completion Message will not affect these Learners.
	If the Use Start Date toggle is turned ON, this will set a date when all enrolled Learners will receive the first nudge. If a User was already receiving nudge emails prior to toggling Use Start Date ON, they may receive nudges from the original cadence and the new cadence that would occur from toggling on Use Start Date. If the Use Start Date toggle is turned off, once the Learner is enrolled into the Course, opting in or out of the Nudge Message will not affect these Learners. Only Learners who enroll after the Nudge Message was adjusted, will it apply.
	No. Once the Learner is enrolled into the Course, changing the Max Nudges of Messages will not affect these Learners. Only Learners who enroll after the Max Nudges of Messages was adjusted, will it apply. Once Nudges have been scheduled, the original number of scheduled Nudges may continue to distribute to Learners even after the value is changed. Newly enrolled Learners will receive the newly configured number of Max Nudges.
Nudge every	If the Use Start Date toggle is turned on, this will set a date when all enrolled Learners will receive the first nudge. If a User was already receiving nudge emails prior to toggling Use Start Date on, they may receive nudges from the original cadence and the new cadence that would occur from toggling on Use Start Date. If the Use Start Date toggle is turned off, once the Learner is enrolled into the Course, changing the Nudge Frequency of Messages will not affect these Learners. Only Learners who enroll after the Nudge Frequency of Messages was adjusted, will it apply.
Use Start Date	Yes. This element is retroactive for all Users.
Use Custom Template	No. This element is not retroactive.
	If the Failure Message is turned on prior to the Learner failing the Course, they will receive the Failure Message. If the Learner has already failed the Course, opting in or out of the Failure Message will not affect these Learners.
Resources	Yes. Resources can be added or removed from a Course and all enrolled Learners (completed or not) will receive the update.
Course Uploads	Yes. Course Uploads can be added or removed from a Course and all enrolled Learners (completed or not) will receive the update.
Course Upload Label	Yes. The Label of the Course Upload can be updated and all enrolled Learners (completed or not) will receive the update.
Course Upload Instructions	Yes. The Instructions of the Course Upload can be updated and all enrolled Learners (completed or not) will receive the update.
Course Upload Approver	No. Once the Learner has completed the Course Upload, any adjustments to Approver will not be applied.
Enable Course Evaluation	Yes. Enabling Course Evaluations will prompt Learners enrolled to complete an Evaluation. Completed enrollments will not be required to take the Evaluation.
Evaluation Required	Yes. Enabling Evaluation Required will prompt Learners enrolled to complete the Evaluation and will not receive a completion for the Course until the Evaluation is completed. Completed enrollments will not be required to take the Evaluation.
Evaluation Can be Taken at Any Time	Yes. This element is retroactive for all Users.
Enable Course Rating	Yes. Enabling Course Rating will prompt Learners enrolled to complete a Rating.
Audience	Yes. Populating a value in the Audience field will allow Admins to report on this value for all Learners who have been enrolled into the Course.
Goals	Yes. Populating a value in the Goals field will allow Admins to report on this value for all Learners who have been enrolled into the Course.
External ID	Yes. Populating a value in the External ID field will allow Admins to report on this value for all Learners who have been enrolled into the Course.

Certificate Source	Yes. Editing the Certificate PDF will update the Certificate they can print from their Transcripts. This is because an awarded Certificate is generated uniquely each time it is opened by a User.

Expiry	No. Adding, editing or removing this Date will not affect Learners who have already completed the Course. If the Learners are enrolled, but have not completed the Course, the updated Date will apply at completion.

Competencies	No. Learners who have already completed the Course will not receive any updates to Competencies. If the Learners are enrolled, but have not completed the Course, the Competency updates will apply at Completion.
Credits	No. Learners who have already completed the Course will not receive any updates to Credits. If the Learners are enrolled, but have not completed the Course, the Credit updates will apply at Completion.
Leaderboard Points	No. Learners who have already completed the Course will not receive any updates for this feature. If the Learners are enrolled, but have not completed the Course, the Leaderboard Points will apply at completion
Post Enrollments	Post Enrollment rules have three different triggers to choose from: Enrolled Completed Failed Post Enrollment actions will be dictated by how a Course or Curriculum's Post Enrollment rules are configured at the time an enrollment, completion, or failure occurs. Enrolled: Users who have been enrolled into a Course or Curriculum after this setting is configured will receive the Post-Enrollment trigger. Completed: Users who have complete a Course or Curriculum after this setting is configured will receive a Post-Enrollment trigger. Failed: Users who have failed a Course after this setting is configured, will receive a Post-Enrollment trigger. Note: If a Learner has already enrolled in, completed, or failed a Course, and the Post-Enrollment rules are set after the fact, the trigger will not retroactively apply to that Learner. Exception: Course Bundles
Access Date	Yes. Adding or changing the Access Date will affect all Learners who are enrolled.
Expiration	Yes. Adding or changing the Expiration Date will affect all Learners who are enrolled.
